Organization Management

An organization in Mapalyze is the top-level container for your team, forms, records, and settings. Whether you are a solo professional or part of a large enterprise, understanding how to manage your organization keeps everything running smoothly.

Your organization profile

Every Mapalyze account belongs to an organization. When you first create your account, an organization is created automatically using your name. You can update this at any time.

To edit your organization profile:

  1. Log in to app.mapalyze.com.
  2. Click Settings in the left sidebar.
  3. Select Organization.
  4. Update the following fields:
    • Organization name -- Your company or team name. This appears in exported data headers, shared forms, and invoices.
    • Logo -- Upload your organization logo. It appears on PDF exports and shared views.
    • Industry -- Select your primary industry (utilities, environmental, construction, etc.). This helps Mapalyze tailor feature suggestions.
    • Time zone -- Set your organization's default time zone for timestamps and scheduled operations.

Managing projects

Projects let you organize your work into separate containers. Each project can have its own forms, records, and team assignments.

Creating a project

  1. Click Projects in the left sidebar.
  2. Click New Project.
  3. Enter a project name and optional description.
  4. Click Create.

Assigning forms to projects

  1. Open the project.
  2. Click the Forms tab.
  3. Click Add Form and select from your published forms.

A form can belong to multiple projects. Records are collected within the context of a project, so data stays organized.

Assigning members to projects

  1. Open the project.
  2. Click the Members tab.
  3. Click Add Member and select from your organization's team.
  4. Assign a project-specific role if needed (a member can have a different role in different projects).

Team members only see projects they are assigned to, which keeps their workspace clean and focused.

Organization-wide settings

Several settings apply across your entire organization:

Default map settings

Set the default map center, zoom level, and base layer that apply to all new forms and projects. Individual forms can override these defaults.

Data retention

Configure how long synced records are kept on mobile devices before being cleaned up. The default is 30 days. Records on the cloud are retained indefinitely unless you delete them manually.

Required fields policy

On the Team plan, you can enforce organization-wide policies such as requiring a photo on every record or mandatory GPS capture. These policies apply across all forms.

Branding

Customize PDF exports and shared data views with your organization's logo and color scheme.

Audit trail

Mapalyze tracks key actions across your organization for accountability and compliance:

  • Member added, removed, or role changed
  • Form created, published, or archived
  • Project created or deleted
  • Records exported or deleted
  • Organization settings modified

To view the audit trail:

  1. Go to Settings then Audit Trail.
  2. Browse the chronological list of events.
  3. Use the filter controls to narrow by date range, action type, or team member.

The audit trail is available on Professional and Team plans. Events are retained for one year.

Transferring ownership

If the organization owner needs to change (for example, due to a personnel change), the current owner can transfer ownership:

  1. Go to Settings then Organization.
  2. Click Transfer Ownership.
  3. Select the new owner from the list of Admin members.
  4. Confirm the transfer.

The new owner receives full control of the organization, including billing and all administrative settings. The previous owner is downgraded to an Admin role.

Deleting your organization

Deleting an organization permanently removes all data, including forms, records, media, team members, and billing history. This action cannot be undone.

To delete your organization:

  1. Go to Settings then Organization.
  2. Scroll to the bottom and click Delete Organization.
  3. Type your organization name to confirm.
  4. Click Permanently Delete.

We recommend exporting all data before deleting. If you are on a paid plan, cancel your subscription first to avoid future charges.
